This position will report directly to the Registrar.

Summary Of Position:

The Record Specialist will assist with the day-to-day operations of the Registrar’s Office. The duties will include, but are not limited to, maintaining and integrity of students’ academic records, assisting with departmental activities, entering data int the student information system, and performing administrative tasks per established policies and procedures.

Strategic Objectives:

  • Enhance the AUIB student experience by addressing student queries and providing superior customer service.
  • Increase efficiency and use of the student information system by collaborating across departments.
  • Promote accuracy and integrity of information stored and functionality of the student information system.

Responsibilities:

  • Assist the Registrar in the day-to-day operations of the unit.
  • Update and maintain student files.
  • Assist with the input/update and maintenance of student data and academic records.
  • Update course information in the Student Information System
  • Review transfer credit requests.
  • Liaise with the MoHESR and generate ministerial reports under the guidance of the Registrar.
  • Support the Enrollment Management communications plans.
  • Provide guidance to students on admission, enrolment, and document submission.
  • Process incoming student record, academic transcripts, and letter requests.
  • Assist in scheduling classes and final examinations.
  • Assist in final exams proctoring.
  • Generate reports as requested by the Registrar.
  • Translate information from English to Arabic and Arabic to English with accuracy.
  • Support the degree audit process as requested by the Registrar.
  • Participate in planning, coordinating, developing, and implementing long-term goals and objectives for the unit.
  • Contribute to developing and implementing best business practices that improve and maintain customer service and communications with all university constituents.
  • Process Diplomas/Certificates, and Statements of Results.
  • Assist with the organization of convocation ceremonies.
  • Maintain classroom inventory information.
  • Perform other duties as assigned.

 

Requirements For This Position:

  • Bachelor's Degree from an accredited tertiary institution in Computer Science, Information Management, or related field.
  • At least two years’ work experience in related field; prior experience in higher education is an advantage
  • Experience in higher education enrollment management (admission, registration).
  • Excellent English written and verbal communication skills
  • Proficiency in MS Office (Word, Power Point, Excel) and database applications.

  • Peoplesoft SIS experience or other student information systems.
