JOB SUMMARY

Event Box Co., an events and exhibitions company is looking for a Finance Manager who will oversee the day-to-day administrative and management of payments, financial transactions, and budgetary control of the company. This position is responsible for the supervision of the Administration, Human resource, Supply chain, and Legal units as well as managing all accounting in the Finance unit. 

RESPONSIBILITIES 

Administration:

  • Ensure proper daily support functions in compliance with company standards and provide guidance to Supply chain, Human resources, and Legal staff.
  • Ensure the company's policies & procedures are in place and implemented.
  • Ensure provision of quality services, utilities, and all other facilities management.
  • Prepare the official correspondence and letters whenever required.
  • Maintain a record of all types of contracts, letters, and official documents.
  • Oversee the legal obligations and provide support for any legal matter for the Event Box company.
  • Ensure the company is in compliance with the official laws and regulations.
  • Ensure the preparation and submission of any type of report.  

Human Resources:

  • Oversee the company’s human resources requirements including development plans and ensure that the policies are in place.
  • Supervise and ensure monthly payroll of employees through salary accounts in bank or cash.
  • Ensure that the company is compliant with all necessary tax, social security, and other local requirements.
  • Maintain in-depth knowledge of legal requirements related to day-to-day management of employees, reducing legal risks, and ensuring regulatory compliance. 
  • Manage Interviews as a panel member for all the vacancies published and conduct induction and orientation training sessions for the newly recruited employees.
  • Prepare employment and service contracts for the staff and the service providers.
  • Provide current and prospective employees with information about policies, job duties, working conditions, wages, and opportunities for promotion and employee benefits.
  • Manage the annual performance evaluation process, set up schedules, and provide advice to all employees and Supervisors as necessary.

Finance:

  • Monitor the day-to-day financial operations within the company (payroll, invoicing, and other transactions).
  • Prepare monthly and quarterly management reporting.
  • Organize and settle the receipts of advance payments.
  • Prepare payment vouchers, and ensure that all payment requests are properly supported and approved.
  • Participate in strategic data analysis, research, and modeling for senior company leadership.
  • Support project analysis, validation of plans, and ad-hoc requests.
  • Manage the company's financial accounting, monitoring, and reporting systems.
  • Ensure compliance with accounting policies and regulatory requirements.
  • Provide a yearly Operational Budget to the management, which reflects available resources and technical possibilities.
  • Knowledge of tax and other compliance implications of company status.
  • Provide monthly reports of the admin expenses, cash flow, and expenditures with opening and ending balances to the management.
  • Enter all financial data into the company`s financial system.
  • Manage the treasury-related day-to-day activities.
  • Ensure local & International finance control procedures and policies are in place and adhered to by all the staff.

Supply chain:

  • Oversee the company`s procurement, logistics, assets, and transportation and ensure that all needs are met in the most cost-effective way.
  • Create the company’s supply chain strategy.
  • Monitor procurement and logistics process. 
  • Maintain supply chain inventory and records.
  • Train and guide employees.
  • Find cost-effective solutions for supply chain processes.
  • Resolve issues that come up (e.g. delays in delivery, accidents)
  • Collaborate with other departments to create coordinated plans for business growth.
  • Develop and implement safety guidelines in all aspects of the supply chain.
  • Ensure supply chain processes meet legal requirements and standards.
  • Analyzing supply chain data and performance.
  • Do other related tasks as assigned by supervisor.

QUALIFICATIONS

  • Bachelor’s degree in business, accounting, finance, or a related field; Master’s preferred.
  • Strong accounting background and Management work experience.
  • Ability to work on the quick box accounting software or other application.
  • Excellent language skills in Kurdish, Arabic, and English will be an advantage.
  • Knowledge of labor legislation.
  • Strong analytical and computer skills, with an emphasis on budget and financial analysis.
  • Excellent interpersonal and verbal and non-verbal communication skills.
  • Excellent knowledge of administrative and financial processes.
  • Ability to maintain the highest degree of discretion and confidentiality.
  • To have a strategic and analytical mind.
  •  Willingness to travel - this position will spend up to 20% of time traveling to other cities inside Iraq.
